Your backup may be missing shadow data
Your backup runs every night like clockwork. It just doesn’t touch the master spreadsheet on your bookkeeper’s desktop. Nobody ever told it to.
This is the quiet problem many small businesses don’t see: data that lives somewhere the backup never looks. People call it shadow data, not because it’s sinister, but because it sits out of sight.
Here’s an explicitly hypothetical example. A 12-person firm asks everyone where they keep files they’d panic about losing. The answers include a personal cloud drive, two laptops, a USB stick, and a department app nobody had added to the backup plan. Nothing dramatic happened. The company simply found gaps before it needed those files back.
Where those overlooked files hide
It’s rarely one big stash. It’s a dozen small ones: the contract saved to a personal Google Drive because it was faster, the customer list on a sales rep’s phone, the design files on a laptop that goes home every night, or the USB stick used to move work between the office and the kitchen table.
None of this means someone did something wrong. People reach for whatever’s closest and gets the job done. The trouble is that “whatever’s closest” rarely includes a backup.
Find it before you need it
Shadow data stays invisible until a laptop dies, a person leaves with the only copy, or a drive goes missing. That’s when a business discovers the backup didn’t fail. It was never pointed at the right place.
You don’t need fancy tools to start. Ask each person or team: Where do you keep the files you’d panic about losing? Then move those files into systems that are backed up, and make the protected option easy enough that people will actually use it.
The point isn’t to lock everything down until work grinds to a halt. It’s to make sure the things that matter are somewhere you can still reach when something breaks. You can look for those gaps on a calm afternoon, instead of asking a dead laptop to help you find them.
If you’re not sure where to start, a quick review can help your team map the places important files actually live.
